Sound bath workshop organiser checklist: venue, access and booking

Before promoting a workshop, confirm the facilitator, format, venue, participant limit, accessible arrangements and booking terms. A clear event description is more useful than a long list of promised benefits.

Confirm the core details first

Agree whether this is a listening session, practical lesson or mixed workshop. Write down the date, start and finish time, arrival instructions, group limit and facilitator name. Check whether setup and clearing time are included in your venue booking.

Confirm the fee arrangement with the facilitator before setting a ticket price. Ask about equipment, travel and any minimum attendance requirement. Do not advertise a date as confirmed while these arrangements are still provisional.

Walk through the participant journey

Consider the entrance, stairs or lift, toilets, room temperature and where participants can sit. Make space for people using chairs and for those who may need to leave without stepping across others. Check background noise during the intended event time.

Tell attendees what to bring, what is provided and whether there is hands-on playing. Explain how to raise access needs privately. Avoid collecting medical histories or other sensitive details merely because an event is described as wellbeing.

Publish clear choices and terms

State whether the event is suitable for the age group you intend to welcome, using the facilitator’s own policy rather than guessing. Explain cancellation, refund, transfer and late-arrival arrangements in plain language before people pay.

Agree photography rules with the facilitator and venue. Tell attendees in advance if you plan to take photos and provide a workable way not to be photographed. The workshop ticket should not silently become consent for promotional use.

Keep the description accurate

Describe the experience people can expect: instruments, format, duration and setting. Do not promise cures, guaranteed emotional release or a result you cannot establish. Use a current venue photo only with permission; label illustrative images as illustrations.

After the event, review the practical feedback with the facilitator. Consider whether the instructions were clear and the room comfortable. This helps improve a future event without turning subjective reactions into unsupported clinical claims.
